FAQs — Setup and Configuration
What is Coldmails.ai?
Coldmails.ai is an all-in-one cold email infrastructure platform that provides Google Workspace and Microsoft 365 mailboxes with automated DNS setup, domain management, and one-click export to popular outreach tools.
Do I need technical knowledge to use Coldmails.ai?
No. Coldmails.ai automates everything from DNS configuration to mailbox creation. You don’t need to understand SPF, DKIM, or DMARC records — it’s all handled for you.
Can I use my own domains?
Yes! You can connect existing domains by updating your nameservers, or purchase new domains directly through Coldmails.ai.
How long does mailbox creation take?
Mailboxes are typically active within minutes. For new domains, DNS propagation may add a short delay, but most setups complete in under 15 minutes.
Does Coldmails.ai handle email warmup?
Yes. New mailboxes automatically enter a warmup phase to build sender reputation before you start outreach campaigns.
What outreach tools can I connect?
Coldmails.ai supports one-click export to Instantly, Smartlead, ReachInbox, Reply.io, Lemlist, Woodpecker, Apollo, and many more platforms.
Can I export SMTP/IMAP credentials manually?
Yes. You can export credentials as a CSV or copy SMTP/IMAP settings directly from the mailbox details page.
How many domains should I use?
We recommend 2–3 mailboxes per domain for optimal deliverability. If you’re sending at scale, use multiple domains to distribute sending volume.
What is Zap Shield?
Zap Shield is a domain protection feature that monitors your domain health and helps prevent deliverability issues before they impact your campaigns.
What are Placement Tests?
Placement tests send test emails to seed accounts across major providers (Gmail, Outlook, Yahoo) to measure where your emails land — inbox, spam, or missing.
What’s the recommended setup order?
- Create your workspace
- Buy or connect domains
- Create mailboxes
- Wait for warmup to complete (or use pre-warmed mailboxes)
- Export to your outreach tool
- Start sending!
